Most publishers run the season on notebooks, WhatsApp forwards and a spreadsheet somebody rebuilds every Friday. Visits are remembered in the evening. Orders are typed again at the office, and invoices a third time into the accounts. Visit

Proof of visit, not a promise.

A visit starts with a check-in at the school gate: one GPS reading and a photo, and the app refuses it outside the school’s 100-metre fence. The report follows when there’s time — who they met, the titles sampled, the money collected.

Works where the signal doesn’t

School gates are where coverage is worst. Check-ins wait on the phone with their photos and send themselves once the rep is back online. Each carries its own ID, so a retry never files a visit twice.

No background tracking

The day’s trail comes only from what the app sees while it’s open, inside the working hours you set.

Web entries say so

A visit logged from the portal is marked as a web entry and carries no location, so nobody mistakes it for a check-in.

Managers read, and reply

Visits aren’t queued for approval. Managers read their team’s register and comment on any visit in their line.

Order

Priced by the catalogue. Signed twice.

Orders are built against the live catalogue with the rep’s discount, so the total a school is shown is the total the manager approves and the total that’s invoiced. The manager approves, the admin gives the final approval, and the rep follows every step from their phone.

Each order follows one set of rules for who can move it, and when. Nobody approves their own work.

Ship short, bill short.

The warehouse packs from its own queue. Recording the dispatch raises the invoices in the same step — one for each firm whose books are in the box — priced from what actually left the building. Whatever couldn’t ship lands on the shortfall sheet.
